From complexity to control: How Derome unified its document flow with Logiq

It started with invoices
Previously, Derome struggled with a decentralized and inefficient document management landscape. The handling of invoices, orders, and order confirmations was spread across numerous different formats and proprietary solutions. This led to manual and complex processes, such as scanning PDF invoices and identifying and correcting errors, and a lack of standardization, supporting a vast number of different formats to accommodate various customer and supplier systems - in addition to the challenges regarding documenting the environmental data. The need for a unified and modern solution was clear.
Derome got in touch with Logiq through an external advisor in 2022. The decision process was fast – finding a partner with solid industry experience was key and Derome chose Logiq in just a few weeks in 2022.

The project started with the most pressing need—invoices—but the scope quickly expanded to include purchase orders, order confirmations, and delivery notes – both incoming and outgoing.
"The initial scope was to handle all incoming and outgoing invoices for all our companies," explains Carl Hugosson. "But during that same year, we laid the groundwork to expand the solution to cover purchase orders, order confirmations, and dispatch advice. Today, Logiq manages our entire flow."
The core of the solution was to transition Derome to the Peppol network, establishing a single, modern standard for all electronic documents.
Smart document validation reduces errors
A key component of the solution is Logiq's automatic document validation. Invoices missing mandatory fields are rejected before entering Derome’s internal systems.
"If an invoice arrives with incorrect or missing data, Logiq automatically rejects it and sends a notification to the supplier with a link to make corrections. The invoice only reaches us once it's correct. We avoid ever having to see the faulty documents. It’s like a digital ‘Iron Dome’," said Carl Hugosson
Group-wide adoption and significant savings
Derome consists of eight subsidiaries – all of which now use Logiq’s platform for invoice and order communication. The final migration – IMAB – is currently being completed. The collaboration with Logiq has given Derome significant and tangible benefits, improving their operational efficiency and strategic capabilities:

It is easy to add new suppliers and customers, and the solution handles different formats and special cases without Derome needing to build its own customizations:

Due to these improvements, Derome estimates to have saved 300 hours per year on the outbound invoices and 300-600 hours per year on inbound invoices and incoming order confirmations - each!

Ready for the future – including environmental data
One emerging challenge is managing environmental data, especially for custom-made products, where the climate footprint is not always documented. This is an area Derome sees as critical going forward.
"Environmental data requirements will be a major driver of digitalization in our industry. As both buyer and supplier, we need to handle and pass on this data properly," said Hugosson
The demand for environmental data will drive the next wave of digitalization in the wood and materials industry, and the partnership with Logiq is central to Derome’s ability to meet this demand.
